Precision Pavers is a family-run hardscape and outdoor living business with three field crews and a long-standing reputation in the Dallas area. We're looking for a highly organized, detail-driven Office Manager who can take ownership of the day-to-day office operation, keeping our finances, scheduling, and client communication running smoothly. Precision Pavers is a small, tight-knit, family-owned company serving the Dallas Metroplex with paver installation and outdoor living projects. Our culture is professional but relaxed, people are treated like family, we keep things flexible when we can, and we value strong work, good communication, and a sense of humor. We're growing, and ownership needs a true operational partner in the office to help the business run cleaner, faster, and more organized.


This is a hands-on office leadership role combining QuickBooks-based bookkeeping, administrative coordination, and scheduling/client communication. You'll be the hub that keeps information accurate, jobs organized, and clients informed, while working closely with ownership. This role may expand over time based on company growth and performance


Key Responsibilities

  • Own day-to-day QuickBooks activity (transactions, categorization, reconciliation support)
  • Manage accounts payable/receivable, invoicing, vendor payments, and customer billing follow-up
  • Maintain clean, accurate records for internal tracking and coordination with the outside accounting firm
  • Keep schedules organized and updated; communicate scheduling timelines/changes with clients
  • Handle incoming calls/emails and maintain professional, timely client communication
  • Maintain organized digital and physical files (job info, client records, photos, notes, documents)
  • Track key job and office details to ensure accuracy (dates, addresses, scope notes, materials, etc.)
  • Support ownership with admin tasks and process improvements that reduce bottlenecks
  • Proactively identify gaps/problems and propose solutions (you'll be trusted to take initiative)
  • Maintain job records, schedules, client communication using JobTread (or similar)

Qualifications

  • 3 or more years of experience in office management, admin coordination, or similar operations role (construction/home services a plus)
  • QuickBooks experience required (daily use level, AP/AR, invoicing, payments, basic reporting support)
  • Strong organization and attention to detail, accuracy matters here
  • Comfortable managing multiple priorities without mixing details between jobs
  • Professional communication skills (phone, email, client-facing updates)
  • High initiative: you problem-solve, look things up, ask smart questions, and move work forward
  • Ability to handle constructive feedback and follow direction while still thinking independently
  • Must be willing to complete a background check upon a conditional job offer
  • Comfortable learning new software (JobTread or similar).

Compensation & Benefits

  • Full-time position, W-2 Employment
  • Pay: $70,000 to $80,000 per year, depending on experience and impact
  • Performance-based growth opportunities (raises, expanded responsibility)
  • Benefits note: We currently do not offer structured benefits (health/retirement). Compensation is designed to reflect that.
  • PTO: 10 days/year (accrues)
  • Paid holidays: 6 paid holidays/year

Schedule: Monday to Friday, 8:00 am to 5:00 pm
